Updating users and classrooms for the new school year
Ensuring your user accounts and classrooms are accurate from one school year to another is an important piece of maximising your experience with Discovery Education. Depending on how you send us data, this process varies.
Wonde Integration
If you utilise our Wonde integration, our platform automatically updates to reflect changes made in your school MIS, including archiving classes.
Manual setup using user import tool
If you update your users and classes using our User import tool, you can also modify user information (such as grade level) and status (such as archive) through the same .CSV files.
STEP 1: Remove your old classes and update users
- Access the Admin dashboard tile on your homepage
- From the top menu, select Tool --> User Import
- Select the History tab
- Export the Classes, Students and Teachers where you need to archive users or classes or modify data.
- Update the Status column, change the number for any class, teacher or student you'd like to archive:
0 = Archive user or class
1 = Active user or class - In the Student.csv file, update the Grade column for the students' new grade (year group)
- Save the .CSV files
- Select the Import tab and upload your new files
You will need to recreate your classrooms at the start of each school year. This applies to all classrooms even if they retain the same name and teaching staff. If you attempt to reuse classrooms from a previous year, you will find that assignment data from your previous year is also retained. This may create confusion when assessing or assigning work for the new class and may lead to speed issues which may hamper your ability to utilise classroom features.
STEP 2: Create new classes
- From the User Import page, download a new 'Class' template and populate the fields.
Column headers and field details below –
Column headers/Fields | Required field | Description |
SchoolName | Required | School Name as it is in the platform. DO NOT CHANGE |
SchoolID | Required | Discovery Education School Passcode. DO NOT CHANGE |
ClassName | Required | Name that users will see (School to update) |
ClassID | Required | Must be unique within a school (School to update) |
SchoolYear | Required | This is the academic year of the class e.g. 2021 Differentiates classes from year to year IF ClassID remains the same. (School to update) |
CSV file example below -
Please ensure that you 'copy and paste' the SchoolID column so it remains the same in the entire column. Please do not 'drag' this column down.
2. Save the file as a .CSV file. Where possible please retain the name of the file or add a number to the name to distinguish it from any other similar files you may already have save.
3. Select the Import tab and upload your new file
4. Please allow up to 20 minutes for your changes to be uploaded. You can check the History tab for the file upload and error status
STEP 3: Add teachers and students to the classes (Rosters)
Please ensure that your teacher, student and class information is uptodate in the platform before updating the class register files. You will need to prepare the teacher roster (adding teachers to a class) and the student roster (adding students to a class) files.
1. From the User Import page, download a new 'TeacherRoster' and 'StudentRoster' template and populate the fields.
